By making a booking or using any facilities provided through Brentwood School, you agree to the following terms and conditions. These terms are in place to ensure all venues and facilities are used safely, respectfully and responsibly while helping us provide the best possible experience for every hirer and guest.

Bookings & Payments

All venue hire bookings are subject to availability and are only confirmed once agreed by Event Brentwood in writing. Depending on the type of event, a deposit or full payment may be required before the booking date. Payment terms and timelines will be outlined during the enquiry and booking process. Failure to make payment within the agreed timeframe may result in cancellation of the booking without notice. Event Brentwood reserves the right to refuse bookings where necessary and to make reasonable changes to venue allocations should operational requirements arise.

Cancellations & Changes

If you need to cancel or amend your booking, we ask that you notify the Event Brentwood team as soon as possible in writing. Cancellation charges may apply depending on the amount of notice given before the event date and any costs already incurred. While we always aim to avoid changes, Event Brentwood reserves the right to alter or cancel bookings in exceptional circumstances including safety concerns, maintenance requirements or events outside of our control. In these situations, we will always aim to offer an alternative solution wherever possible.

Use of Facilities

All hirers are responsible for ensuring that facilities are used appropriately throughout the booking period. Spaces must be left in a clean and reasonable condition following use and any damage caused to buildings, furniture, equipment or surrounding areas may result in additional charges. Hirers are also responsible for the behaviour of their guests, attendees, contractors and visitors while on site. Event Brentwood reserves the right to end an event or refuse future bookings where behaviour is considered unsafe, disruptive or inappropriate.

Health, Safety & Insurance

The safety of all guests and visitors is extremely important to us. All hirers and attendees must follow any health and safety guidance provided by Event Brentwood or Brentwood School staff while on site. Depending on the nature of the event, hirers may be required to provide proof of public liability insurance and relevant risk assessments before access is granted. Any external suppliers, entertainers or contractors brought onto site must also comply with venue regulations and safety requirements.

Event Requirements & Permissions

Some events may require additional permissions, licences or approvals depending on the activities taking place. This may include music licences, alcohol permissions, safeguarding requirements or other event-specific documentation. It is the responsibility of the hirer to ensure all necessary permissions are obtained in advance where applicable. Any staging, decorations, external equipment or installations must be approved before the event date to ensure they are suitable for the venue and do not cause damage or disruption.

Parking, Access & Liability

Parking and access arrangements will be discussed during the booking process and may vary depending on the venue and size of the event. While we aim to accommodate guests wherever possible, parking availability cannot always be guaranteed unless agreed in advance. Event Brentwood accepts no responsibility for loss, theft or damage to personal belongings, vehicles or equipment brought onto the premises by hirers, guests or third parties.

Privacy & Contact Information

Any personal information provided during the enquiry or booking process will be handled responsibly and in line with applicable privacy and data protection regulations. Information will only be used for purposes directly related to your booking and communication with Event Brentwood.
